The Role of Zoom Host: Manage the Meeting Follow
Overview
The host plays an important role in setting up the meeting for Verbit's Zoom Integration. The host has to make sure the following are met before and during the meeting:
- The host should enable Closed Captioning (CC) in Zoom;
- The host should allow Verbit Captions into the actual meeting;
- The host should give the Zoom meeting's API token to Verbit Captions.
This article provides a detailed explanation of each requirement.
Enable Closed Captioning in Zoom
The host should enable Closed Captioning (CC) before the start of the meeting.
Closed Captioning can be enabled by the host in SETTINGS >> IN MEETING (Advanced) >> CLOSED CAPTIONING.
NOTE: If the host fails to enable Closed Captioning prior to starting the Zoom meeting, the host can re-enable it by signing to the Zoom web portal and following the steps indicated in this article: How to Enable Closed Captions in Zoom
Once enabled, the host will have to re-launch the meeting or webinar to see the CC button in Zoom control panel.
Allow Verbit Captions into the Zoom Meeting
Zoom offers multiple types and levels of security such as waiting rooms, passwords, domain-level security, or a combination of the above.
Since Verbit Captions should be allowed into the actual meeting to set up the recording, it is best to coordinate these security measures to support@verbit.ai before the meeting to avoid any service delays.
Below are the most commonly used Zoom security levels and how you can ensure Verbit Captions will be able to join your meeting:
MEETING HAS A WAITING ROOM
Verbit Captions will always attempt to join the meeting as early as 30 minutes before the scheduled start time. Simply allow them in.
NOTE: If the host waiting room is enabled, Click on Participants>>Admit allowing Verbit Captions agent to join the meeting.

MEETING IS PASSWORD-PROTECTED
When booking a LIVE session, either:

- provide the encrypted Zoom link instead of the regular meeting link; or
- include the meeting password in the booking notes.
Note: If the Zoom meeting will require a password and the Zoom meeting is already ongoing, the host can provide the password to Verbit Support via CHAT or email support@verbit.ai.
The password can be located on the upper-left corner of their Zoom window by clicking on the Info button.
MEETING IS FOR AUTHORIZED PARTICIPANTS ONLY
This, in most cases, is domain-level security enforced by your organization's Zoom admin.
Please reach out to your Zoom admin and add livecaptions@verbit.ai as an authorized attendee.
INVITE VERBIT CAPTIONS INTO THE MEETING
A good alternative to make sure Verbit Captions would pass all security settings in the meeting is by inviting livecaptions@verbit.ai into the meeting.
Copy the API Token
Verbit Captions will send a private message to the host to request for the Zoom meeting's API token as soon as the meeting begins.
The host can get the API key from Closed Caption (CC) >> Copy the API token at the bottom panel of the Zoom window.
This completes the role of the host in the Zoom Integration setup.
